Privacy Policy
When you supply your personal details to The 54 Clinic, they are stored and processed for three reasons:
Medical necessity
The 54 Clinic has a legal obligation to maintain medical notes in order to provide you with safe and appropriate treatment.Legitimate interest (GDPR Article 6(1)(f))
The 54 Clinic needs to be able to contact you to confirm appointments or update you regarding matters relevant to your care.Consent-based communication
With your consent, we may occasionally send health information, articles, advice or newsletters. You may withdraw this consent at any time.
Retention of Records
The 54 Clinic is legally required to retain your clinical records for 8 years after your most recent appointment (or until age 25 if you were treated as a minor).
After this period, you may request deletion of your records. If no request is made, records may be retained to support continuity of care if you return for treatment in the future.
Records may be held in paper or electronic form:
Paper notes are stored in locked filing cabinets within a locked premises.
Electronic notes are held within a GDPR-compliant medical records system, protected by secure passwords and encryption, in a closed digital system.
CCTV & Video Recording for Clinical Assessment
The 54 Clinic occasionally uses CCTV or video recording within treatment areas for the purpose of documenting clinical progress, observing changes following treatment, and improving the quality of care.
Where CCTV or video recording is used:
It forms part of the clinical record, as it documents changes in mobility, pain expression, or functional movement before and after treatment.
As clinical records, these recordings are not treated as standard “30-day CCTV” footage, but instead follow the same retention rules as all medical notes.
Under GDPR and healthcare-record retention regulations, clinical video records must be kept for at least 8 years after the last appointment, or until the patient reaches age 25 (whichever is later).
Recordings are stored securely, encrypted, and access is strictly limited to authorised clinical staff only.
CCTV/video is never used for general surveillance, only for documented clinical benefit.
Recordings will never be shared unless required by law or with the patient’s explicit written consent.
Patients are fully informed when CCTV/video is in use, and consent is obtained prior to recording. Consent may be withdrawn at any time, and recordings not required for medical purposes will then be deleted where legally permissible.
Access to Your Data
Your personal data will only be accessed by:
The medical records provider (for secure storage and processing).
Your treating practitioner at The 54 Clinic.
Locum practitioners, but only with your agreement.
Administrative personnel who may access contact information but never your clinical notes.
Your data is never shared with third parties without your written permission.
Cookie Policy
In addition, we may also track information provided to us by your browser or by our mobile application when you view or use the Service, such as the website you came from (known as the “referring URL”), the type of browser you use, the device from which you connected to the Service, the time and date of access, and other information that does not personally identify you. We use this information for, among other things, the operation of the Service, to maintain the quality of the Service, to provide general statistics regarding use of the Service and for other business purposes. We track this information using cookies, or small text files which include an anonymous unique identifier. Cookies are sent to a user’s browser from our servers and are stored on the user’s computer hard drive. Sending a cookie to a user’s browser enables us to collect Non-Personal Information about that user and keep a record of the user’s preferences when utilizing our services, both on an individual and aggregate basis. The Company may use both persistent and session cookies; persistent cookies remain on your computer after you close your session and until you delete them, while session cookies expire when you close your browser.
